This policy explains how UmrahTransit handles customer information for transportation booking, dispatch, support, safety, permits, compliance, and service improvement. It is designed to be transparent about real transport operations in Makkah, Madinah, Jeddah, airports, checkpoints, and peak seasons.

1. Information We Collect

We collect information needed to quote, confirm, dispatch, operate, support, and improve transportation services. This may include your name, phone number, email address, pickup and drop-off locations, travel date and time, passenger count, luggage details, vehicle preference, payment preference, special requests, booking history, and communication records.

For airport, intercity, group, Hajj, Umrah, or checkpoint-sensitive journeys, we may request additional information such as flight number, terminal, hotel name, visa type, visa copy, passport information, residency/Iqama details, or passenger manifest details where required for permits, Tasreeh, checkpoint compliance, or operational verification.

We may also collect technical information such as device type, browser, approximate location, referral source, pages visited, and booking funnel activity to improve website performance, fraud prevention, and customer experience.

2. How We Use Information

We use customer information to provide quotes, create and verify bookings, assign vehicles and drivers, coordinate pickups, issue invoices or tickets, communicate by WhatsApp, email, phone, or SMS, handle changes and cancellations, investigate service issues, and comply with applicable transport, safety, permit, and checkpoint requirements.

We may use booking and communication data to improve our website, Noor assistant, dispatch workflows, email templates, customer support, route planning, fraud detection, and operational reporting.

3. AI-Assisted Customer Experience

UmrahTransit may use AI-assisted tools, including Noor and internal admin assistants, to help answer questions, collect booking details, prepare quotes, summarize customer requests, draft operational messages, and improve service quality.

AI outputs are used as support tools and may be reviewed or corrected by our team. Official booking details are those confirmed in your booking confirmation, invoice, WhatsApp confirmation, or direct communication with our operations team.

4. Sharing With Drivers, Partners, and Service Providers

We share limited information with drivers and transport partners when necessary to operate your journey. This may include customer name, phone number, pickup and drop-off locations, route, date and time, passenger count, luggage notes, flight details, hotel details, and operational instructions.

Where we work with trusted third-party transport companies, contractors, drivers, payment providers, hosting providers, analytics tools, email providers, support tools, or permit-related service providers, information is shared only as needed for booking fulfillment, safety, legal compliance, payment, support, or service improvement.

We require partners to handle customer information responsibly, but third-party mistakes, delays, or compliance failures can occur. We investigate concerns and take corrective action where appropriate.

5. Permits, Tasreeh, Police Checks, and Legal Requests

Saudi transport operations may require identity, visa, passport, residency, passenger manifest, or permit-related information. For some routes, seasons, checkpoints, or group movements, authorities may request proof of passenger identity, travel purpose, hotel stay, permit status, or transport authorization.

Even outside peak seasons, group transport carrying more than six passengers may require Tasreeh or passenger documentation. We may ask for additional documents when needed to prepare or verify such requirements.

We may disclose information to government, law enforcement, checkpoint, regulatory, airport, hotel, or safety authorities when required by law, operational necessity, safety concerns, or official request.

6. Data Security and Retention

We use reasonable administrative, technical, and organizational measures to protect customer information. No digital system is completely risk-free, but we work to limit access to people and providers who need the information for legitimate business purposes.

We retain booking, communication, invoice, permit, and operational records for as long as needed to provide services, resolve disputes, meet accounting or legal obligations, improve operations, and protect our business and customers.

7. Customer Choices and Rights

You may request access, correction, or deletion of your personal information where applicable and where retention is not required for legal, accounting, safety, dispute, permit, or legitimate business reasons.

You may ask us to update incorrect booking details, remove unnecessary documents after they are no longer required, or stop non-essential marketing communications. Operational booking messages may still be sent when needed to provide the service.
